How Sales Day collects, uses, shares and protects personal data.

1. Introduction
This Privacy Notice explains how Sales Day Software Ltd collects, uses, shares and protects personal data when you:
- visit our websites;
- create or use a Sales Day Account;
- participate in a personal or Team Workspace;
- purchase or manage a Subscription;
- contact our support, billing, privacy or security teams;
- connect an integration;
- receive service communications; or
- otherwise interact with Sales Day.
It also explains the distinction between:
- personal data that Sales Day processes for its own business purposes as a controller; and
- customer relationship management data that Sales Day generally processes on behalf of its Customers as a processor.
Please read this Notice together with our Terms of Service, Cookie Notice, Data Processing Addendum and Subprocessor List.

We have not appointed a formal Data Protection Officer.

3. Scope of this Notice
This Notice applies to personal data processed through:
- sales.day;
- app.sales.day;
- Sales Day Account and Workspace administration;
- the Sales Day application;
- Subscriptions and billing;
- customer support;
- pre-account migration requests, where you send us data from another system before creating a Sales Day Account;
- integrations;
- security and operational monitoring; and
- service-related communications.
It does not govern the independent privacy practices of third-party services such as Google, Stripe or other services that you choose to connect or use.
Those providers have their own terms and privacy notices.
4. Business use
Sales Day is intended for business and professional use, including use by:
- companies;
- partnerships;
- organisations;
- charities;
- sole traders;
- freelancers; and
- self-employed professionals.
It is not intended for personal, family or household use.
Users must be at least 18 years old.
5. Our roles under data-protection law
5.1 When Sales Day acts as controller
Sales Day generally acts as controller for personal data used to manage:
- Sales Day Accounts;
- authentication and access;
- User profiles;
- Subscriptions and billing;
- customer support;
- security;
- fraud and misuse prevention;
- legal compliance;
- service communications;
- our websites;
- our own business records; and
- operation and improvement of the Service.
In these situations, Sales Day decides why and how the personal data is processed.
5.2 When Sales Day acts as processor
Customers use Sales Day to enter and manage information about their own:
- Leads;
- Contacts;
- prospects;
- customers;
- suppliers;
- employees;
- representatives; and
- other business relationships.
For this customer-controlled CRM data, the Customer generally determines:
- what information is entered;
- why it is processed;
- which Users may access it;
- how long it should be retained;
- whether it is exported, archived or deleted; and
- whether a person should be contacted.
Sales Day generally processes this data on the Customer's instructions to provide the Service.
The Customer is normally the controller of this CRM data, and Sales Day is its processor.
Our Data Processing Addendum applies to this processing.
5.3 Questions from people recorded in a Customer Workspace
If your information has been entered into Sales Day by one of our Customers, you should normally contact that Customer first.
The Customer is usually responsible for:
- providing its privacy information;
- identifying its lawful basis;
- responding to access, correction, deletion or objection requests; and
- deciding how your information is used.
We will assist our Customer where required under our Data Processing Addendum and applicable law.
6. Personal data we collect
The data we collect depends on how you use Sales Day.
6.1 Account and identity data
This may include:
- name;
- email address;
- profile photograph;
- company or organisation name;
- job or Account role;
- User identifier;
- Account status;
- onboarding status; and
- authentication-related information.
Authentication credentials and sessions may be handled by our platform and authentication providers.
Sales Day does not need access to your plain-text password.
6.2 Workspace and permission data
This may include:
- personal Workspace membership;
- Team Workspace membership;
- Workspace name;
- Workspace identifier;
- owner or billing-owner status;
- administrator, manager or member role;
- invitations;
- invitation status;
- active Workspace;
- access permissions;
- member-removal records; and
- administrative actions.
6.3 Subscription and billing data
This may include:
- plan;
- billing period;
- seat quantity;
- trial status and dates;
- Subscription status;
- Stripe customer or Subscription identifiers;
- invoice and transaction references;
- payment status;
- failed-payment information;
- cancellation or downgrade status;
- billing contact details;
- tax-related information; and
- billing-support communications.
Payment-card details are entered directly into Stripe's payment environment.
Sales Day does not store full card numbers or card-security codes.
6.4 Profile and preference data
This may include:
- timezone;
- date format;
- currency preference;
- working days;
- working hours;
- week-start preference;
- notification preferences;
- Morning Digest enabled status;
- Morning Digest delivery time;
- selected delivery days;
- interface preferences; and
- connected-account settings.
6.5 Support and communication data
This may include:
- support-ticket content;
- support category and priority;
- ticket status;
- support replies;
- email correspondence;
- feedback;
- feature requests;
- billing enquiries;
- privacy requests;
- security reports;
- attachments, where supported; and
- records of communications with us.
Please avoid including unnecessary sensitive information in support messages.
6.6 Calendar and integration data
If you connect Google Calendar or another supported integration, we may process:
- connected email address;
- provider name;
- OAuth authorisation information;
- calendar identifiers;
- event identifiers;
- event dates and times;
- event titles and descriptions;
- locations;
- attendees or linked Contacts where applicable;
- synchronisation status;
- Task and Meeting identifiers;
- Workspace identifiers;
- assignee information; and
- technical synchronisation metadata.
The exact information depends on the permissions you grant and the feature you use.
6.7 Email and notification data
This may include:
- sender and recipient email address;
- Workspace;
- related record type;
- notification content;
- message subject;
- delivery status;
- provider message identifier;
- delivery attempt information;
- failure information;
- Morning Digest delivery record;
- invitation record; and
- notification preference.
6.8 Technical, security and operational data
This may include:
- IP address;
- device and browser information;
- session information;
- authentication events;
- timestamps;
- application logs;
- error information;
- route or feature accessed;
- audit records;
- administrative activity;
- failed requests;
- security events;
- webhook events;
- import-request records; and
- other information needed to operate, secure and troubleshoot the Service.
Some of this information is generated by Sales Day's infrastructure and platform providers.
6.9 Import and export data
When you use import or export features, we may process:
- uploaded CSV content;
- field mappings;
- validation results;
- duplicate-detection results;
- import-request identifiers;
- imported record identifiers;
- failure information;
- result files; and
- exported Customer Data.
6.10 Customer CRM data
Customer Workspaces may contain personal or business information about third parties, including:
- names;
- business email addresses;
- telephone numbers;
- job titles;
- organisation names;
- addresses;
- notes;
- sales status;
- lead status;
- deal information;
- Task information;
- Meeting information;
- activity history;
- communications;
- ownership or assignment;
- relationship information; and
- other information entered by the Customer.
Sales Day does not determine which third parties a Customer records or the Customer's reason for doing so.
6.11 Pre-account migration data
If you send us an export from another CRM, spreadsheet or system, for example to request a free migration into Sales Day, before creating a Sales Day Account, we process that file solely to complete the import on your behalf.
This may include personal data about your own contacts, customers or prospects contained in that file. We do not use it for any other purpose and do not share it with third parties other than the processors described in this Notice who support the Service.
We delete the file once your import is confirmed complete, save for any information also described in section 17.6.
7. Information we do not intend to collect
Sales Day is not designed as a specialist system for storing highly sensitive or regulated information.
Unless expressly agreed with us, Users should not use Sales Day to store:
- full payment-card details;
- passwords or authentication secrets belonging to third parties;
- detailed health or medical records;
- criminal-conviction data;
- biometric identifiers;
- genetic data;
- highly sensitive government identifiers;
- classified information;
- extensive information about children;
- information requiring specialist regulatory hosting; or
- special-category personal data that is not genuinely necessary.
If you enter this information, you remain responsible for having an appropriate lawful basis and applying suitable safeguards.
8. How we obtain personal data
We may obtain personal data:
8.1 Directly from you
For example, when you:
- register;
- complete your profile;
- purchase a plan;
- configure settings;
- connect an integration;
- submit a support request;
- send us an email;
- provide feedback;
- import data; or
- otherwise use the Service.
8.2 From your organisation or Workspace administrator
An owner or administrator may provide:
- your name;
- business email address;
- role;
- Workspace membership;
- permissions;
- invitation details; and
- seat or Subscription information.
8.3 From connected providers
We may receive information from:
- Google;
- Stripe;
- email-delivery providers;
- authentication providers;
- hosting and application-platform providers; and
- other integrations you authorise.
8.4 Automatically
Technical and security information may be generated when you use the website or application.
8.5 From Sales Day Customers
Customers may enter information about third parties into their CRM Workspace.
That information is generally processed by Sales Day on the Customer's behalf.
9. How and why we use personal data
The table below describes our main controller processing activities.

Where we rely on legitimate interests, those interests may include:
- operating and improving Sales Day;
- protecting Customers and the Service;
- preventing fraud and misuse;
- supporting Users;
- managing our business;
- maintaining accurate records;
- establishing or defending legal claims; and
- communicating necessary service information.
We consider whether these interests are necessary and whether they are outweighed by your rights and interests.
10. Consent
We do not use consent as the main lawful basis for providing an Account or core Service.
We may ask for consent where it is the appropriate lawful basis, for example for:
- optional non-essential cookies or tracking, if introduced;
- certain direct-marketing communications;
- optional features where the law requires consent; or
- another clearly identified purpose.
Where processing is based on consent, you may withdraw it at any time.
Withdrawal does not affect processing carried out before consent was withdrawn.
11. Marketing and analytics
Sales Day does not currently use Customer CRM data for Sales Day advertising or marketing.
We do not sell personal data.
We do not share Customer Data with advertising networks for behavioural advertising.
Sales Day uses optional Google Analytics, provided by Google LLC, on sales.day and app.sales.day to understand website usage and improve Sales Day. Google Analytics and its cookies are only loaded after you have granted analytics consent. You can allow, reject or withdraw consent at any time through "Cookie settings". Explicit analytics events do not contain names, email addresses or other user-entered personal information. Further information about how Google uses data is available in Google's privacy policy at policies.google.com/privacy.
The public Sales Day marketing website at sales.day may use the LinkedIn Insight Tag, provided by LinkedIn Corporation, after you have granted Marketing consent. It is used for advertising conversion measurement, aggregate website audience insights and the creation of website audiences for retargeting. The LinkedIn tag is not installed in the authenticated CRM application at app.sales.day. LinkedIn enhanced matching is not enabled. Sales Day does not intentionally provide LinkedIn with CRM records or email addresses through this tag. You can withdraw Marketing consent at any time through "Cookie settings".
If Sales Day introduces optional marketing emails, we will:
- identify them as marketing;
- provide an appropriate unsubscribe option;
- apply applicable electronic-marketing rules; and
- maintain suppression records where necessary.
Service, security, billing and legal communications are not marketing and may still be sent where required.
12. Artificial intelligence and model training
Sales Day does not use Customer Data to train external general-purpose artificial-intelligence models unless:
- the Customer expressly requests an AI-powered feature;
- the processing is clearly explained;
- an appropriate provider and contractual arrangement are in place; and
- the processing complies with applicable data-protection law.
The presence of technical platform capabilities does not mean that Customer CRM data is routinely sent to an AI provider.
We will update this Notice and relevant product information before introducing material AI processing of Customer Data.
13. Automated decision-making
Sales Day does not currently make solely automated decisions about individuals that produce legal effects or similarly significant effects.
Product recommendations, plan suggestions, Task prioritisation or workflow prompts are intended to assist Users and do not make legally significant decisions about data subjects.
14. Who we share personal data with
We may share personal data with the following categories of recipient.
14.1 Hosting, database and application-platform providers
Sales Day uses third-party infrastructure and application-platform services to host, authenticate, store and operate the Service.
These providers may process Account, Workspace, CRM, technical and support data as necessary to provide the platform.
14.2 Payment providers
Stripe processes payment and billing information.
Stripe may receive:
- Customer or billing-owner name;
- email address;
- plan;
- seat quantity;
- billing interval;
- amount;
- tax-related information;
- Subscription identifiers; and
- payment information entered directly into Stripe.
14.3 Email-delivery providers
Our email provider may process:
- recipient address;
- sender information;
- message subject;
- message content;
- delivery metadata; and
- failure information.
This may include Team invitations, notifications, support replies and Morning Digests.
14.4 Calendar and integration providers
Where you connect Google Calendar or another supported service, relevant Task, Meeting, Account and synchronisation data may be exchanged with that provider.
14.5 Professional advisers
We may share limited personal data with:
- accountants;
- auditors;
- solicitors;
- insurers;
- consultants; and
- other professional advisers,
where reasonably necessary and subject to appropriate duties of confidentiality.
14.6 Authorities and legal recipients
We may disclose information where reasonably necessary to:
- comply with law;
- respond to a court order or lawful request;
- protect rights, safety or security;
- investigate fraud or misuse;
- enforce our agreements; or
- establish, exercise or defend legal claims.
14.7 Corporate transactions
If Sales Day is involved in a merger, acquisition, investment, financing, reorganisation or sale of assets, relevant information may be disclosed under appropriate confidentiality protections.
14.8 Workspace members and administrators
Information in a Team Workspace may be visible to other authorised Workspace Users according to:
- their role;
- permissions;
- assignment;
- Workspace configuration; and
- the functionality of the Service.
Workspace owners and administrators may manage member access and Workspace information.
15. Subprocessors
Our Subprocessor List identifies key providers that may process personal data to help provide Sales Day.
The list may include providers supporting:
- application hosting;
- database services;
- authentication;
- payments;
- email delivery;
- calendar integrations;
- storage; and
- operational infrastructure.
We will maintain the list separately so that it can be updated as providers change.
For Customer-controlled CRM data, subprocessor use is also governed by our Data Processing Addendum.
16. International transfers
Some of our providers may process or permit access to information outside the United Kingdom.
Sales Day uses contractual and legal safeguards where required, as explained in the:
- Privacy Notice;
- Data Processing Addendum; and
- Subprocessor List.
Security standards and legal protections can differ between countries.
The particular mechanism may depend on:
- the provider;
- processing location;
- recipient;
- type of information; and
- applicable contract.
Further provider and location information will be made available through our Subprocessor List or on request at:
17. Data retention
We retain personal data only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, security and dispute-resolution requirements.
The exact period depends on the type of information and its use.
17.1 Account and profile data
We normally retain Account and profile data while the Account remains active.
After Account closure, some data may be retained for a limited period to:
- complete deletion;
- maintain security;
- prevent fraud;
- resolve disputes;
- comply with law; or
- maintain necessary business records.
17.2 Customer CRM data
Customer CRM data is normally retained while the relevant Workspace remains active, subject to:
- Customer deletion;
- archiving;
- Workspace closure;
- Subscription status;
- Customer instructions; and
- platform backup cycles.
Customers control many record-retention decisions within their Workspaces.
17.3 Billing data
Invoice, transaction and tax-related information may be retained for the periods required by applicable accounting, tax and company law.
17.4 Support data
Support records may be retained for as long as reasonably necessary to:
- resolve the issue;
- maintain service history;
- improve support;
- demonstrate actions taken;
- manage disputes; and
- protect security.
17.5 Security and audit data
Security, access and audit records may be retained for a reasonable period based on:
- the sensitivity of the event;
- investigation requirements;
- fraud prevention;
- legal obligations; and
- the need to protect the Service.
17.6 Import and delivery records
Import requests, email-delivery records, Morning Digest delivery records and webhook records may be retained for troubleshooting, audit, duplicate prevention and operational reliability.
Files sent to us for a pre-account migration, as described in section 6.11, are retained only until the import is confirmed complete and are then deleted, save for the minimal import-request records described above.
17.7 Deleted information and backups
Deleted information may remain temporarily in:
- backups;
- disaster-recovery systems;
- logs;
- provider systems; and
- legally retained records.
It will be isolated from ordinary use and removed or overwritten through the relevant retention cycle, unless continued retention is required by law or for a legitimate legal or security purpose.
Sales Day is developing a more detailed internal retention schedule.
This Notice will be updated if material Customer-facing retention periods are introduced.
18. Account, Workspace and record deletion
18.1 Signing out
Signing out ends the current session.
It does not delete the Account or its data.
18.2 Record deletion
Users may be able to:
- complete;
- archive;
- soft-delete; or
- permanently delete records,
depending on the record type, role and available product controls.
18.3 Workspace deletion
Authorised owners or administrators may be able to delete a Workspace through available controls or with support assistance.
Workspace deletion may permanently remove active Customer Data and may not be reversible.
18.4 Account deletion
Where self-service Account deletion is not available, a request may be sent to:
We may need to verify:
- the requester's identity;
- authority over the Account;
- ownership of affected Workspaces;
- Subscription status; and
- whether data belongs to other Workspace Users.
18.5 Subscription cancellation
Cancelling a Subscription does not automatically delete an Account, Workspace or Customer Data.
Subscription cancellation and data deletion are separate processes.
19. Data export and portability
Sales Day provides separate export mechanisms.
19.1 Profile export
The Data & Privacy area may allow a User to export a JSON copy of information held in their User profile.
This does not necessarily include all Customer Data in a Workspace.
19.2 CRM export
Authorised Users may export supported CRM data in CSV format, including:
- Accounts;
- Contacts;
- Leads;
- Deals;
- Tasks; and
- Meetings.
Export availability depends on role, Workspace access and current product functionality.
19.3 Additional requests
A person may contact privacy@sales.day to request access to personal data for which Sales Day acts as controller.
Where the data is controlled by a Sales Day Customer, we may refer the request to that Customer.
20. Your data-protection rights
Depending on the circumstances and applicable law, you may have the right to:
- be informed about processing;
- request access to your personal data;
- request correction of inaccurate or incomplete data;
- request deletion;
- request restriction of processing;
- object to processing based on legitimate interests;
- object to direct marketing;
- request data portability;
- withdraw consent where consent is relied upon;
- complain to a supervisory authority; and
- receive information about applicable international-transfer safeguards.
These rights are not absolute.
For example, we may need to retain information:
- to comply with law;
- for legal claims;
- for security;
- for fraud prevention;
- to protect another person's rights; or
- because the information is controlled by one of our Customers.
21. How to exercise your rights
Contact:

- your request;
- the Account or Workspace involved;
- the email address associated with the request; and
- any information that helps us locate the relevant data.
We may request proportionate proof of identity or authority.
We normally aim to respond within the period required by applicable data-protection law.
If Sales Day processes the relevant information only on behalf of a Customer, we may:
- direct you to that Customer;
- notify the Customer; or
- assist the Customer in responding.

23. Security
We use organisational and technical measures intended to protect personal data against:
- unauthorised access;
- inappropriate disclosure;
- loss;
- misuse;
- alteration; and
- destruction.
Current measures include, where applicable:
- authenticated Account access;
- Workspace and role-based access controls;
- database access rules;
- server-side permission checks;
- protected secrets;
- payment-provider webhook verification;
- OAuth-based integration controls;
- input validation;
- import safety controls;
- duplicate and idempotency controls;
- audit and delivery records; and
- application error protection.
Parts of Sales Day's security, hosting, authentication, encryption and backup environment depend on our platform and infrastructure providers.
No online service can guarantee absolute security.
Users are responsible for:
- protecting credentials;
- choosing appropriate Workspace roles;
- removing Users who no longer require access;
- using secure devices;
- reviewing connected integrations; and
- notifying us promptly of suspected compromise.
Security concerns should be sent to:
24. Personal-data incidents
If we become aware of a personal-data incident, we will:
- investigate it;
- take reasonable steps to contain and remediate it;
- assess the risk;
- notify affected Customers where required;
- assist Customers where we act as processor; and
- notify regulators or individuals where legally required.
Incident notification does not necessarily mean that Sales Day caused the incident or accepts liability.
25. Cookies and browser storage
Sales Day currently uses browser storage and similar technologies needed for:
- authentication;
- session management;
- security;
- User preferences;
- application state; and
- operation of requested features.
Sales Day uses optional Google Analytics, provided by Google LLC, on sales.day and app.sales.day to understand website usage and improve Sales Day. Google Analytics and its cookies are only loaded after you have granted analytics consent. You can allow, reject or withdraw consent at any time through "Cookie settings". Explicit analytics events do not contain names, email addresses or other user-entered personal information. Further information about how Google uses data is available in Google's privacy policy at policies.google.com/privacy.
The following cookies are relevant to analytics and marketing consent:
- sales_day_cookie_consent_v2 - a necessary first-party preference cookie on the sales.day domain that records your analytics and marketing consent choices. It lasts for 180 days.
- _ga and _ga_* - optional Google Analytics cookies that are created only after you have granted analytics consent. They last for up to two years.
The public Sales Day website may use the LinkedIn Insight Tag after you have granted Marketing consent. The LinkedIn tag is not installed in the authenticated CRM application. Further details are provided in the Sales Day Cookie Notice.
26. Connected services
When you connect a third-party service:
- you direct Sales Day to exchange relevant information with that service;
- that provider processes information under its own privacy terms;
- permissions depend on the scopes you approve;
- you can normally disconnect the integration; and
- disconnecting may not delete information already created in the third-party service.
For example, disconnecting Google Calendar may stop future synchronisation but may not automatically delete calendar events already created in Google.
27. Google API Services and Google Calendar data
When a User connects Google Calendar, Sales Day accesses Google user data only after the User has expressly authorised the connection through Google's OAuth consent process.
The Google user data Sales Day may access includes:
- the connected Google Account email address;
- the calendars available to the User;
- calendar identifiers and names;
- event identifiers;
- event titles and descriptions;
- event dates and times;
- event locations;
- event attendees;
- event status and availability information;
- OAuth authorisation information; and
- technical synchronisation metadata.
Sales Day uses this information only to provide user-facing Calendar integration features requested by the User, including:
- allowing the User to select a Google Calendar;
- displaying authorised Google Calendar events within Sales Day's Today and Diary views;
- creating Google Calendar events from Sales Day Tasks and Meetings;
- updating those events when the User changes the corresponding Sales Day record;
- deleting or removing synchronised events when requested by the User; and
- maintaining and troubleshooting the Calendar connection.
Sales Day may store Calendar identifiers, event identifiers, event details, synchronisation status, links between Google events and Sales Day records, and related technical metadata for as long as the connected integration, relevant Account, Workspace or synchronised record remains active, or for a limited period where needed for security, troubleshooting, legal compliance or backup deletion cycles.
OAuth access and refresh tokens are stored in protected connector infrastructure and are not exposed through ordinary application records or to other Users.
Google user data is shared only:
- with Google, where necessary to perform the Calendar action requested by the User;
- with Sales Day's hosting, application-platform and infrastructure providers where necessary to operate and secure the integration;
- with authorised Users in the relevant Workspace where the product functionality requires it; or
- where disclosure is required by law.
Sales Day does not sell Google user data, use it for targeted advertising, share it with advertising networks or data brokers, or use it for lending or eligibility decisions.
Sales Day does not use raw, derived, aggregated or anonymised Google user data to develop, improve or train generalised artificial-intelligence or machine-learning models. Sales Day does not transfer Google user data to third-party AI or machine-learning providers for those purposes.
Users may disconnect Google Calendar through Sales Day's connected-account settings. Disconnecting stops future access and synchronisation and revokes or removes the relevant OAuth connection. Disconnecting does not automatically delete events already created in Google Calendar or information already incorporated into Sales Day Tasks or Meetings.
Users may delete relevant Sales Day records using available product controls or request deletion of Google integration data by contacting privacy@sales.day or support@sales.day. Some limited information may remain temporarily in backups, logs or legally retained records and will be removed through the applicable retention cycle.
Sales Day's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
28. Children
Sales Day is not directed at children.
Users must be at least 18 years old.
Customers must not use Sales Day to process children's personal data unless they:
- have a valid lawful basis;
- provide required privacy information;
- apply appropriate safeguards; and
- comply with all applicable laws.
29. Changes to this Notice
We may update this Notice to reflect:
- legal changes;
- product changes;
- new providers;
- new integrations;
- changes in processing;
- security developments; or
- improvements in clarity.
The updated version will show a revised effective or last-updated date.
Where a change is material, we may provide additional notice through:
- email;
- an in-app message;
- a website notice; or
- another reasonable method.
